Position Summary

Reporting to the Director of Dance and Adult Programming, the Program Coordinator will help sustain outstanding programming for an eclectic adult audience. The Coordinator will provide support for daily operations and activities including lectures, classes and workshop programming in arts and humanities, film, personal and professional growth, among other areas. Through the provision of effective and efficient administrative support to both the Director and Senior Programs Manager, ensure that the needs of the instructors and patrons are met.

Essential Functions

  • Interact and engage with patrons, faculty and students, including responding positively and efficiently to questions or concerns raised via phone/email/in-person and providing effective pragmatic solutions.
  • Communicate with faculty and speakers with regard to program logistics, space requirements, format and scheduling to ensure proper room and equipment set ups, class materials and, when needed, catering orders.
  • Manage payroll submissions, contracts with external speakers and departmental invoicing
  • Manage supplies, equipment, and ordering requests with a focus on cost control, while ensuring all equipment and supplies are in working order.
  • Assist with the creation, editing and tracking of seasonal loads in Tessitura and work with the 92Y Marketing team to ensure the website and marketing materials are accurate, current and up to date.
  • Assist with copy writing and proof-reading for promotional materials including catalogs, event calendars, flyers
  • Participate in patron research as appropriate; disseminate class/teacher evaluations and solicit patron feedback
  • Greet instructors and speakers and provide introductory remarks, when necessary
  • Work with Marketing and PR departments to investigate and initiate new strategies for promoting classes and lectures
  • Assist with ‘open house’ events including 92Y’s annual Street Festival.
  • Perform other related duties as requested or assigned

Education, Skills and Experience

  • Bachelor Degree or equivalent experience
  • Experience in planning, coordinating and leading various cultural group events highly desirable
  • Previous experience working in administrative capacity with keen attention to detail required
  • A proven interest in cultural and arts programming
  • Excellent writing and interpersonal skills
  • Strong, effective and diplomatic communication skills
  • Ability to handle multiple projects in fast-paced environment
  • Ability to work in a team and under pressure
  • Strong proficiency with Microsoft Office and Social Networking tools


Hours of work:
40 hours work week. Typical work schedule will be: Monday through Friday 9:30 am-6:30 pm with a 1 hour unpaid meal break. Flexibility to work some evenings will be required.
