Position Summary

The Administrative Assistant will perform a wide variety of administrative duties to support all areas within the Residence. The Administrative Assistant will be responsible for ensuring positive interaction with both potential and existing residents and dealing effectively with any concerns or issues raised.

Essential Functions

  • Addresses and responds to inquiries from both current and potential residents and offering and completing tours when appropriate.
  • Processes applications and collect and record rent and other payments from residents.
  • Informs residents of room changes and notify housekeeping of overnight guest arrivals and changes in room allocations.
  • Prepares room set-ups for individuals, select groups, agent move-ins, etc, along with maintaining all relevant residents’ documentation and filing. Welcomes new residents and assists with their check-in process.
  • Assists with the assessing and checking of rooms; recording any maintenance requests and incidents in the Property Management System.
  • Completes weekly administration task including production of relevant departmental reports, departure letters, inventory, and placing orders for supplies.
  • Distributes residents’ mail and packages.
  • Assists with the promotion of the residence to new potential clients.
  • Performs other related duties as requested and as needed.

Education, Skills and Experience

  • High School Diploma required, Bachelor’s degree preferred
  • Minimum of 2 years administration experience preferably within the hotel, tourism or student housing/residence life industry.
  • Ability to organize, prioritize and execute responsibilities to meet required deadlines.
  • Proven record of strong, effective and diplomatic communication and interpersonal skills required to positively interact with both residents and colleagues.
  • Proficient in Microsoft Office (Word, Excel, and Outlook) with previous experience of using reservations systems strongly preferred.
  • Ability to work independently and collaboratively as a member of a team

Hours

  • 36.25 hours per week, Sunday 10am to 6pm and Monday through Thursday 11am to 7pm
