  • Position Summary

    The School Administrator provides administrative support to the Dance Department, ensuring the efficient operation of the School of Dance. 

    Essential Functions

    • Interact and engage with patrons, faculty and students, including responding positively and efficiently to questions or concerns raised via phone/email/in-person and providing effective pragmatic solutions.
    • Maintain records of contracts and letters of agreement for all dance school instructors.
    • Create and update schedules and rosters for Children’s classes, track registrations, coordinate follow up registrations and monitor and follow up on missed class attendance.
    • Prepare and submit room set up requests and coordinate with the facilities department to ensure that rooms are properly set up, in a timely manner, with all the required equipment and materials for all school classes.
    • Produce reports and rosters from the Tessitura system and work with faculty to track and monitor student attendance.
    • In conjunction with the Customer Care department, draft for review, communications to keep current and potentially enrolled families up to date on current and future programs and activities
    • Manage supplies, equipment, and ordering requests with a focus on cost control, while ensuring all equipment and supplies are in working order.
    • Draft for review, flyers and other in house marketing materials and liaise with the Marketing department, as required.
    • Submit event updates to all relevant parties and assist in catalog, web editing and review.
    • Organize and execute print and photocopy requests.
    • Assist with ‘open house’ events including 92Y’s annual Street Festival.
    • May be assigned other tasks and duties reasonably related to their job responsibilities.

    Education, Skills and Experience

    • 3 years administrative experience in an arts, educational or community center environment.
    • Excellent verbal and written communication skills, strong customer service and presentation skills, and a strong proficiency in the use of Microsoft Office, with previous experience of Tessitura preferred.
    • Ability to organize, prioritize and execute responsibilities in the face of conflicting priorities and unexpected situations.
    • An interest in cultural and arts programming and education and a commitment to the mission and goals of 92Y and the dance department.

     

    Hours of work:  25 hours per week, Monday to Friday, 2:30-7:30 pm. Some flexibility will be required.
