  • Position Summary

    The Program Administrator assists the Center for Arts Learning and Leadership in the implementation of school-based and on-site programs, reaching thousands of students and teachers across New York City. The Program Administrator must be able to perform a range of administrative duties, including communicating with parents, students, teachers, invoicing, coordinating meetings and conducting research as required.

    Essential Functions

    • Assist Director and Associate Director in carrying out Center for Arts Learning and Leadership programs and projects.
    • Assist with the submission, tracking and record keeping of all program expenses and maintain database, records, correspondence, evaluations and files.
    • Process and record payments for invoices associated with school-based programs.
    • Assist with the development and implementation of program evaluations and assessments.
    • Collaborate with senior staff to ensure that department goals are met and adhere to approved budgets.
    • Demonstrate positive interpersonal relations in dealing with all members of the team.
    • Assist with logistical arrangements for meetings, workshops and events including scheduling, set-up, catering and distribution of printed materials.
    • Communicate with artists, teachers and school coordinators as needed.
    • Assist with correspondence to parents, students, teachers and coordinators.
    • Conduct research as needed.
    • Undertake related duties as assigned.

    Education, Skills and Experience

    • High School Diploma
    • Minimum 2 years’ experience providing administration assistance.
    • Possess strong time management and prioritization skills, with the ability to multitask in a deadline-oriented environment.
    • Ability to work on a team and establish cooperative working relationships.
    • Possess strong written and verbal communication skills.
    • Highly organized with attention to detail and strong record-keeping ability.
    • Skill in using personal computers and a variety of software applications, including the Microsoft Suite.

    Hours of work:

    36.25 hour work week. Typical work schedule will be Monday to Friday 10am to 6pm
