  • Position Summary

    The Special Initiatives and Programs Coordinator will take an active role in the research, identification, development and implementation of special initiatives and programs across 92Y, including working with external partners and rental clients, to deliver revenue generating opportunities through non-traditional programming and events. Working with the Associate Director, Special Initiatives and Programs, the Coordinator will work across all areas of the institution on a variety of categories and businesses as needed. The position requires strong talent management and administrative skills, knowledge of current market trends, as well as experience developing relationships with external organizations with a view to increasing revenue streams.

    Essential Functions

    • In collaboration with the Associate Director, Special Initiatives and Programs, acts as the point person for special initiatives programs and venue rentals, with responsibility for multi-project timeline development and management of relationships with talent and external partners.
    • Establish and implement efficient procedures to address the administrative needs of special initiatives, programs and venue rentals.  
    • In collaboration with the Associate Director, manage day to day operations for venue rentals, including tracking inquiries, initiating outreach efforts to potential clients and partners, and ensuring timely communication in order to maximize the mutual benefits of the relationship for each stakeholder. 
    • Coordinate services for special initiatives, venue rentals and programs including logistics, program requirements, catering, hotel accommodations, transportation, merchandise, security, customer care and other 92Y and collaborator needs.
    • Organize team meetings for the planning, execution and production of special initiatives, and other programs and operational needs.
    • Serve as point person for all production related matters pertaining to venue rentals and special initiatives, including establishing production schedules, creating event run of show and addressing general production needs (including sound checks).
    • As directed by the Associate Director, Special Initiatives and Programs and on an as needed basis, assist with the needs of the Senior Manager of Production & Operations, including catering and logistical needs for programs.
    • Manage and process contracts, payments, necessary licenses and releases for talent, external partners, and clients.
    • Cultivate and maintain relationships with talent, VIPs, rental clients and external partners.
    • Support Managing Director, Strategic Marketing and Program Administration and Associate Director, Special Initiatives and Programs by coordinating 92Y projects.
    • Serve as key member of team who manages space allocations throughout the building year round, serving as primary point person as required.
    • Provide support to other program areas and undertake related duties as required.

    Education, Skills and Experience

    • Bachelor’s Degree in Advertising, Marketing, Communications and/or comparable work experience in advertising, direct marketing, e-commerce, promotion or publishing.

    • Three to five years of administrative experience in talent or event management with a strong interest in cultural arts and/or non-profit organizations.
    • Demonstrated project management experience with the proven ability to manage multiple requests, balance multiple deadlines and evaluate project.
    • Excellent verbal and written communication and presentation skills, including experience writing and editing copy.
    • Must be intellectually agile in order to identify issues and make quality decisions.
    • Demonstrated ability to work with various staff to resolve complex project issues in a diplomatic way.
    • Strong focus on customer service within a collaborative staff culture and the ability to motivate and an interest in acting as a role model to other team members.
    • Ability to adapt in a dynamic work environment, learn quickly, solve problems and make decisions.
    • Strong leadership skills and the ability to effectively influence others.
    • Strong proficiency in Microsoft Word, Excel & PowerPoint required; experience with database tools and knowledge of internet technology. 


    Hours of work

    40 hours per week, Monday to Friday, 9am to 6pm with flexibility in schedule needed to meet deadlines and attend various programs and events.
