  • Position Summary

    The Program Coordinator supports the programming and administration of Talks events with responsibility for working collaboratively with the 92Y Talks team, Backstage, Marketing, PR, Sales, Digital, Web Editors, Development departments to ensure the successful implementation and leveraging of 92Y Talks. The Program Coordinator will be the “face” of 92Y Talks, coordinating with talent managers and reps and following up on all speakers’ logistics.

    Essential Functions

    • Facilitate relationships with guest speakers, moderators, publishers, agents and talent.
    • Manage and complete administration responsibilities relating to events.
    • Issue Event Bulletins and follow up to ensure the Talk is properly posted on 92Y’s platforms.
    • Research, investigate and present opportunities for new programming content as well as partnerships with outside organizations.
    • Coordinate services for programs including merchandise, security, customer care and other 92Y and partner needs.
    • Serve as department liaison with the marketing department for the seasonal print catalog (collating, editing, transferring, routing materials) and act as Catalog coordinator for departmental deadlines.
    • Responsible for the coordination of program logistics and all back stage set up requirements. Attend weekly production meetings. Further ongoing communications as to program needs and updates.
    • Manage events from start to finish, as required, including troubleshooting any issues that occur before, during or after the event.
    • Keep track of all signed releases and contracts for events, programs and partnerships.
    • Assist the Executive Producer, 92Y Talks with event related administrative and logistical tasks, as required.
    • May be assigned other tasks and duties reasonably related to their job responsibilities.

    Education, Skills and Experience

    • Bachelor’s Degree and/or comparable work experience within event, conference or program management arena.
    • 2-3 years of administering and delivering successful events or conferences.
    • Proven capability of managing detailed projects from conception through to delivery and evaluation.
    • High-level of research and presentation skills accompanied by a strong proficiency in the use of both on-line tools and Microsoft office Suite.
    • Demonstrable experience of working on simultaneous, multiple, projects.
    • Ability to take initiative and research contacts.
    • Work both independently as well as be part of a team.
    • Commitment to the mission and goals of 92Y.

    Hours of work:
    40 hours per week: 12pm – 9pm Monday to Friday.
