  • Position Summary

    The Program Assistant supports the programming and administration of the Adult Education department, assisting the Program Manager and the Director of Adult Programs in day-to-day operations which include lectures, classes and workshops in the humanities, social sciences, languages, personal and professional growth, food & wine, tours and new initiatives. 

    Essential Functions

    • Work with space administrators, building services, and the IT and AV departments to secure spaces and submit room setups and IT/AV requests for Adult Education programs in advance, as well as troubleshooting any last minute changes.
    • Coordinate, in advance, book orders and guest lists for speaker engagements, class handouts for workshops and classes, and any in-house catering needed for daytime programs requiring food.
    • Communicate with patrons, the box office team and the front desk/security team to ensure that all patrons are properly directed to the correct classrooms.
    • Assist with the drafting and collection of teacher contracts, financial paperwork and media releases from talent.
    • Greet speakers upon arrival, provide instructors with class rosters, welcome patrons and check their class registration cards and tickets as necessary.
    • Interface with patron inquiries with regards to Adult programs - promptly and courteously receiving, handling and responding to inquiries, taking and passing on of messages within Adult Education and other departments, and communicating any class changes and cancellations to appropriate parties.
    • Assist with audience research as appropriate; disseminate class/teacher evaluations and solicit patron feedback.
    • Assist with copy writing and proof-reading for promotional materials including catalogs, event calendars, flyers and eNews communications. Ensure marketing department deadlines are met.
    • Perform other related duties as requested or assigned.

    Education, Skills and Experience

    • Previous administrative experience in planning, coordinating and leading various cultural group events highly desirable
    • Strong proficiency with Microsoft Office and database management
    • Ability to work independently as well as part of a team, with keen attention to detail and proven efficient time management skills
    • Strong, effective and diplomatic oral and written communication skills
    • An interest in cultural and arts programming and a commitment to the mission and goals of 92Y

    Hours of work:

    36.75 hours work week. Typical work schedule will be Mon-Fri 1-9 PM with a 45 minute meal break. Some weekend hours and flexibility in this regard will be required. Two weeks notice for weekend hours will be provided, where feasible.
